Thank you for registering with the City of Sugar Land’s Serve Sugar Land Volunteer Program.
We appreciate your commitment to helping improve our community and the services we provide.
All volunteer opportunities are based on the specific and constantly changing needs of the City of
Sugar Land and its various departments. As specific opportunities arise throughout the year,
requests for volunteers are made by the responsible City department, and may range across a wide
variety of needs and special projects. Available positions are then filled as volunteer needs and
resources dictate.
The duties assigned to a volunteer will depend largely upon the specific volunteer needs of the
department and or special project requiring the assistance. Duties from one volunteer opportunity
to the next vary, and thus may range from helping the Parks and Recreation Department with a
holiday event to assisting the Utilities or Fire Department with office tasks.
A volunteer may participate in more than one of the available positions with the City at any point
in time, providing their time commitments and obligations allow. Further volunteer positions, tasks
and responsibilities may change at any time dependent upon the needs of the City.
When an opportunity becomes available it will be posted on the City’s website or an email will be
distributed. The departmental volunteer supervisor for that specific need will draw from the list of
volunteers in the database. As projects and events occur, the City will make every effort to pair
prospective volunteers with opportunities matching their identified interests and skills.
Volunteers are also welcome to browse the current list of opportunities at any time on the City’s
website and apply to any and all that may interest them.

Guidelines
Hours of Service
The hours that a volunteer may serve will be contingent upon the specific needs advertised
and will be coordinated between the departmental volunteer supervisor and the volunteer.
Volunteers are expected to arrive promptly at the assigned/agreed upon time. If unable to
work the assigned shift, the volunteer must contact the departmental supervisor for their
specific task and notify then that they are unable to report at the prearranged time. The
contact information is listed on the posted activity.
Tasks
Volunteers will have assigned tasks and responsibilities and should not deviate from those
tasks unless the departmental volunteer supervisor communicates a change to the
volunteer. If issues arise in the absence of the departmental supervisor the volunteer should
wait until further instruction is given to him/her by a similarly responsible departmental
contact. Do not guess and never assume, ask and find out for sure. Volunteer satisfaction
and safety are top priorities for the City of Sugar Land.
Dress Code
Dress code requirements are specific to each posted opportunity. Volunteers should ask
their departmental volunteer supervisor for the appropriate dress for the tasks assigned.
Dress code requirements will be followed if provided.
Volunteer Hour Keeping
Each volunteer is responsible for recording their total volunteer hours. This reporting
should be done via the Myimpact.com online account or via the My Impact app. The
volunteer should start and stop the clock on each activity they are working to insure proper
documentation.
Volunteer Hours Worked Requests
Students requesting service hour forms to be completed must provide the following
documentation for the request:
1. Unofficial Reports can be generated through your My Impact account, via the online
version. Once you’ve logged into your account, find the reporttab. You are able to
filter a date range needed and create a PDF of the hours worked. This feature is not
available via the My Impact app.
2. Official Reports on letterhead should be requested via the volunteer@sugarlandtx.gov
email address. The request should include the method of delivery (email, in person, via
online portal), date the hours are needed by, and name of the organization requesting
the documentation. Please allow 5-7 business days to process the request.
Public Contact
All contact with the public should be conducted in a professional manner. When you are
acting in the capacity of a volunteer, you represent the City of Sugar Land! If you are
unsure as to how to handle a situation or respond to a request, please defer to the
supervising City of Sugar Land staff on hand.
Social Media Guidelines
Social media guidelines are set for the appropriate and acceptable manners of social media
use and participation of Serve Sugar Land volunteers. “Social Media” includes any online
communication tools that allow interaction, communication and information sharing
including but not limited to:

All volunteers should understand that their behavior, including online, is a reflection of
their character. Remember that the internet is not anonymous and information published
online will be around for a very long time. Therefore, all content should be carefully

This policy is not intended to restrict or interfere with any volunteer’s federal or state law
rights, including the First Amendment and any and all rights under the National Labor
Relations Act or any whistleblower protections under federal or state law.
Volunteer Paraphernalia
Volunteers cannot develop, print, or distribute letterhead, business cards or other type of
paraphernalia without the prior approval of the City of Sugar Land. Forward your
document to the volunteer supervisor for the assigned task for final approval.
Volunteer companions/children
While volunteering, please do not bring underage children, siblings, other family members
or pets that you would be responsible for watching over during your volunteer time.
Task Performance
Volunteers will follow the departmental guidelines while performing assigned tasks and
should be open to receive and provide constructive feedback. Volunteers should continue
to ask questions or ask for clarification if unsure of directions.
